RMS for oil change shops

Oil change shop software that brings cars back on time

RMS is offline point of sale software made for oil change and lube shops. Find the car by its plate, repeat its last oil and filter with one key, sell loose litres from a 208 L drum, print the next change km on a windscreen sticker, and get a daily list of cars due. It works without internet.

Why does an oil change shop need its own software?

An oil change shop lives on repeat visits. A car that came in at 45,000 km should be back at 50,000 km, and the shop that reminds the owner first usually gets the job. A general billing app does not know the car, the oil grade it takes or when it is due. RMS does. It is oil change shop software built around the vehicle: every bill is linked to the plate, the odometer reading and the oil and filters used.

When the car comes back, the counter sees the last oil, the last km and the next change in one place. No flipping through a register, no asking the customer what they used last time.

How does RMS bring customers back?

Each vehicle has a “next change after” interval (3,000, 5,000 or 10,000 km). RMS works out the expected visit date from how far the car usually drives a day. Every morning the Due list shows:

  • cars due for service by km or by days since the last visit;
  • customers not seen for a while;
  • customers whose payment is due or whose promised date has come.

Call or message from your own phone, record the result (called, will come, no answer) and print the list as a calling sheet. When the car comes in, its reminder closes by itself. The windscreen sticker with the next change km also does its quiet work every time the driver looks up.

What about credit, cash and the drum?

Fleet owners and regulars often pay later. Put the unpaid part on their account with a promised date, and collect old balances with the next bill. The account statement shows every bill and payment with a running balance.

Engine oil bought in a 208 L drum can be sold by the litre: open the drum and its litres come into stock at the right cost, so 3.5 L or 4.5 L bills correctly. Bottled oil can be counted in litres or gallons and bought by the carton. At night, count your notes and coins and RMS shows whether the drawer is short or over. Card, mobile wallet and bank transfer payments are kept apart from the cash, and one bill can be split across them.

Everything works offline on the shop’s own computer, in your own currency, so a power cut or a dead internet connection does not stop the counter.

Questions shop owners ask

Can RMS remind me when a car is due for an oil change?

Yes. RMS works out each car's next change from the km interval and how far the car usually drives each day, and lists every car due on the Due list with the owner's phone number.

Does it work during power cuts or without internet?

Yes. RMS runs on your own computer and needs no internet. Keep the PC on a UPS during power cuts and keep selling.

Can I sell engine oil loose by the litre from a drum?

Yes. Set the drum as the pack of a loose item, for example a 208 L drum. Opening it takes one drum out of stock and adds its litres at the drum's cost per litre, so you can bill any quantity such as 3.5 L.

Can I stock oil in gallons as well as litres?

Yes. Products can be stocked and sold in litres, millilitres, or US or imperial gallons, and bought by the carton with conversions such as 1 carton = 12 bottles.

How fast is a bill for a returning car?

Under 30 seconds using only the keyboard, checked by automated tests. Plate, odometer, F9 to repeat the last oil and filter, then Ctrl+Enter to save.

Can my service men see their names on the bill and earn commission?

Yes. Up to two service men can be put on each bill and are printed on it. Commission for service men is a Pro feature with its own report.
